1 Access the Supplier & Responses section. Begin by selecting Manage RFPs from the blue navigation bar.

Open an RFP by clicking its name. Under Section Links on the left, click Suppliers & Responses

2 Choose a report. Select the suppliers you want included by checking the boxes next to their names. Then, hover over the Reports button at the top and select one of the following reports:

User-added imageView Bids Report - Compare your prospects' finer points side by side. By far the most popular, each column in this spreadsheet includes a picture, the venue's info, rooms, rates, and other costs, their notes, answers to your questions, and attachments. You can pick which information is included before you download the report.

User-added imageAvailability Report - Get a quick overview of each supplier's status, availability, and proposed dates. You can also see their rates, costs, taxes, and fees, answers to your questions, and attachments in this spreadsheet if you choose. Planners often use this as a summary page for the View Bids Report.

User-added imageRFP and Bids Report - Download a Word version of your RFP along with each proposal you've received (and want included in the document). It's like printing a brochure on each venue for your client: it lists all the details but doesn't compare the venues side by side.

User-added imageCompare Suppliers Report - If you care about amenities more than costs, download this spreadsheet to get a detailed breakdown of facility features, services, room counts, space dimensions, parking, equipment, and details down to linens and table settings. Everything money-related and all RFP information is left out.

User-added imageResponses by Destination - Scouting locations in different areas for a citywide event? Divided into tabs by destination (convention centers and CVBs also get their own tabs), you can compare the venues' availability, rates, and RFP responses for each metro area. Since this report assumes the main event will take place in a convention center, meeting room info is not included with the hotels.

3 Choose included sections, if applicable. Depending on the report you choose, it will either download immediately or prompt you to select what you want included. If the latter, select your desired sections when the pop-up appears, then click OK.

Open the file in Excel or Word to view the data.
