You can upload and attach sales kits, brochures, menus, or floor plans to your proposals and venue profiles. As long as it's 10 MB or less, a "document" can be any file in the following formats, PDF, Word, Excel, PowerPoint, text, or images (.bmp, .gif. jpg, .tiff, .png, .ai, and .eps). You can also link to files hosted on other websites using document links.

Uploading Documents
Once you upload files to a venue's document library, you're able to attach them to proposals, add them to the venue's profile, or store them to use later. 


1 Access the venue's document library. Begin by clicking Venues in the top navigation bar. Access your venue or CVB profile by clicking its name.

Under Section Links on the left, click Documents. Hover over the Add button and select Document.


Give your document a name. Click Choose File to locate the file on your computer or network, then click Open to upload it. Select the file type from the dropdown.

Pick the right File Category from the dropdown.

2 Attach the document to future proposals. If you want to make this document available to include in proposals, scroll down to the Proposal Settings section and ensure the first box is checked.

Check the second box, "Automatically send this document with each proposal," to include it by default whenever you respond to an RFP. But you won't be able to remove it from an individual proposal unless you check the last box, which lets you to delete irrelevant documents by clicking the User-added image icon.

3 Post the document to your venue profile. To add this document to your venue profile, scroll down to the Visibility Settings section and check the box next to "Display in the Cvent Supplier Network." A link to the document shows up under Additional Material, in the More section of your venue or CVB profile.
 

NOTE: Only venues with a 1 Diamond listing or above can post documents to their profile. Contact your sales representative to learn more.

If you categorized your document as a Floor Plan or Banquet/Catering/Bar Menu, this will show up in the Meeting Space section of your venue's profile.

If you categorized your document as Safety Information, this will show up in the Overview section of your venue or CVB profile.

Once you're done, click Save, or Save and Add to upload another.
 
Linking to External Documents
 
Are your files already online someplace? Rather than re-uploading, save time by simply linking to them.
 

1 Access the venue's Document Library. Begin by clicking Venues in the top navigation bar. Access your venue or CVB profile by clicking its name.

Under Section Links on the left, click Documents. Hover over the Add button and select Document Link.


Give your link a name and paste the address in the URL field.

Pick the right File Category from the dropdown.
