Once you've decided to host a virtual event, follow these suggestions to get your CrowdCompass app ready to support it:
 
  • Promote the Online Event Guide - Encourage attendees to use both the native app on their mobile device and the web version of your event on their personal computer or laptop.
  • Revise event description - In the Online Event Guide, the event description takes up prime real estate on the home page. Edit your event description to provide an overview of everything attendees need to know about the virtual event at a glance. 
  • Assign featured sponsors - If you're using the Dynamic Event Guide, you can assign featured sponsors and they will appear in the app and directly beneath your event description on the Online Event Guide home page.
  • Add embedded videos - Add embedded videos to give attendees easy access to live stream or pre-recorded video content directly on session and organization pages in the Online Event Guide and the app.
  • Add webcast links - You can also add webcast links to each session. In the Online Event Guide and the app, attendees will then see a "View Webcast" button at the top of the session page, allowing them to join the session virtually with the click of a button.
  • Display the time zone - Enable the adjustable time zone setting to display your event's time zone within the Online Event Guide and the app. This will also give attendees the option to adjust the time zone of the Online Event Guide and the app, allowing them to view sessions, appointments, and their schedule in their device's time zone.
  • Adjust event locationUpdate the venue name to the name of your video conference provider (like WebEx or Zoom) and remove the address details. Keep in mind that only the Country field is required.
  • Revisit emails - Customize the attendee invitation email to share the virtual login details. 
  • Update content and icons - Create pages that include the conference expectations, FAQs, the video broadcast links, troubleshooting steps, contact info for the planners, and details on support channels hosted by your organization. Include them behind a top-level menu icon.
  • Add a virtual lobby - To help attendees navigate your event, consider adding a virtual lobby to take the place of a traditional venue map.
  • Upload documents - Attach presentations to the relevant sessions and speaker profiles in the app.
  • Edit push notifications - Modify the typical onsite event alerts to instead focus on the remote experience (Ex: "Grab another cup of coffee and head back to your laptop in 5 minutes!").
  • Add more surveys - Incorporate questions that test attendees' knowledge to ensure they are actively engaged in the presentations. Also consider including questions that address the virtual experience, like "Do you have any coworkers attending the event with you?" with answer choices such as "My dog," "My cat," and other remote-themed options.
  • Use polls - If your event includes live polls, incorporate fun questions around the virtual experience, like "How many attendees are wearing a sweatshirt to the event?"
  • Use Q&A - If your event includes live Q&A, enable it for your sessions to keep attendees engaged.
  • Modify Click - If you're using the Click photo scavenger hunt, create challenges that are specific to the virtual experience, such as "Show us your remote workspace."
