Using hybrid registration, you can designate virtual registration types and simultaneously enforce event, admission item, and session capacities for both in-person and virtual attendees. Follow these steps to configure your hybrid registration and simplify the process of managing both audiences all within one event.

NOTE: The following features are not currently available for hybrid events: event and session waitlists for virtual attendees, planner alerts for virtual capacities, and the ability to create a hybrid event from a meeting request form.

1 Create a hybrid event. Begin by creating a new event from scratch, or by copying an existing event.

NOTE: Existing in-person or virtual events cannot be changed to a hybrid event, unless you copy them.

Enter your event's title, select an event type, and fill out the planner details. In the Location section, select Hybrid.

Create Hybrid Event

Fill out the rest of your event's details, then click Create event.

2 Enable the relevant features for your event. From the left-hand navigation, click General, then Event Features. In the Solutions section, click + Add under Registration.

Add Registration

If you will be adding sessions to your event, in the Features section, click + Add next to Agenda.

Add Agenda

3 Set in-person and virtual capacities for your event. From the left-hand navigation, click Registration, then Registration Settings. In the General section, click the pencil icon in the top-right.

In the In-Person Capacity field, enter the maximum number of people who can register for the event as an in-person attendee, or leave this field blank for unlimited. In the Virtual Capacity field, enter the maximum number of people who can register for the event as a virtual attendee, or leave this field blank for unlimited.

Registration Settings

Click the check mark in the top-right to save your settings.

4 Designate virtual registration types. Next you'll determine which registration types within your event should be virtual. Attendees who register for virtual registration types will count toward your event's virtual capacity, while attendees who register for non-virtual registration types will count toward your event's in-person capacity.

NOTE: Attendees with virtual registration types cannot be checked in using OnArrival.

From the left-hand navigation, under General, click Registration Types.

Add the registration types for your event, if you haven't already.

Click Edit. Check the "Virtual" box next to the registration types that should be designated for virtual attendees.

Virtual Registration Types

In the Capacity field, enter the maximum number of people who can register for each registration type, or leave this field blank for unlimited.

When you're finished, click Save.

5 Set virtual capacities for admission items. From the left-hand navigation, click Registration, then Admission Items.

Create the admission items for your event, if you haven't already.

Click the name of the admission item you want to set an in-person and virtual capacity for, then Edit.

In the Status & Capacity section, enter the maximum number of people who can select the admission item as an in-person attendee in the In-Person Capacity field, or leave this field blank for unlimited. In the Virtual Capacity field, enter the maximum number of people who can select the admission item as a virtual attendee, or leave this field blank for unlimited.

Admission Item Status and Capacity

When you're finished, click Save.

Repeat this step for each admission item that should have an in-person or virtual capacity.

6 Set virtual capacities for sessions. From the left-hand navigation, click Agenda, then Session List.

Create the sessions for your event, if you haven't already.

Click the name of the session you want to set an in-person and virtual capacity for, then Edit.

In the Status & Capacity section, enter the maximum number of people who can enroll in the session as an in-person attendee in the In-Person Capacity field, or leave this field blank for unlimited. In the Virtual Capacity field, enter the maximum number of people who can enroll in the session as a virtual attendee, or leave this field blank for unlimited.

Session Status and Capacity

When you're finished, click Save.

Repeat this step for each session that should have an in-person or virtual capacity.
