Invited your respondents, but already have their answers? Importing the responses into a survey in Test or Active status will save you time.

 
NOTE: Presentation - Header, Presentation - Custom HTML, and File Upload questions cannot be imported.


1 Add the respondents, if necessary. If you haven't already, add the respondents to your account's Address Book and the survey's targeted list. Those not associated to the account and the survey will be skipped when importing their answers.

2 Access the answer import for classic surveys. Begin by selecting your Classic survey. Click Manage Respondents in the blue navigation bar. Under Section Links on the left, click Answer Import.

Or access the answer import for new surveys. Begin by selecting your new survey. Click Responses in the navigation bar, then Import Answers.

3 Download the sample file. Click the second Download link for a classic survey or the Download a file link for New surveys, and save the sample to your computer.

Locate it on your computer or network. Then right click, hover over Open with, and select Microsoft Office Excel.

4 Prepare your data for respondents' single responses. Do not delete anything in the first row. These are the column headers. All other rows should contain specific values for each column.
Reference the following for additional formatting changes:
  • Your file must be in text (Tab delimited) file for Classic surveys and text (Tab delimited) or Excel (.xls or .xlsx) for new surveys.
  • One header must be either email address or source ID.
  • Ensure commas and line breaks are removed from all values.
  • For respondents with multiple responses, a row must be created for each response.

NOTE: If you're matching respondents by email and importing the respondent's name, ensure all rows include a name or it will be skipped.

After adding your data, save the spreadsheet.

5 Import the File. Back in Cvent, click Browse to locate the file on your computer or network.

stablish the respondent settings for a classic survey. For a classic survey, select which status respondents will be once the import is complete.
 
NOTE: If importing multiple responses, selecting Partial Response will only import one of the respondent's answers. Avoid skipping their other responses by selecting Complete Response.

Select a targeted list from the dropdown, if necessary.

Click Next.
 
Or establish the respondent settings for a New survey. For a new survey, select the status respondents will be once the import is complete. If you are simply importing historical information, select Complete Response. For surveys with unanswered questions, select Partial Response, then determine if existing partial responses will be replaced or if both responses will appear. Then, determine how respondents should be matched by. Once you're done, click Next.

7 Map the fields. Map the columns to the Cvent fields and click Next again. You cannot import new contact information via the answer import functionality. You will need to use the contact import to update those details for a respondent.

Click Next.
 
8 Confirm the import settings. Carefully review your import settings to confirm that the questions are mapped correctly and you are importing the correct respondent status. Then click Finish for a classic survey and Start Import for a new survey.
 
9 Check your work.
To check the status of your import, click the link in the message box that appears immediately after a successful import or click Admin in the the top right. Hover over Reporting and, under View, click Recent Imports/Exports.

 
NOTE: Your import will take a few minutes to appear in the report.

Here you can determine the number of respondents that were inserted, updated, or skipped (failed to import).
