Was your event cancelled after you signed the contract? Maybe this will take some of the sting out of that cancellation fee: any credit the venue gave you can be tracked towards your next booking. The days of forgetting about credits until they expire are over.

1 Add credit for cancelled space. Begin by clicking Cancelled Space in the blue navigation bar.

Click the Add button.

Give the listing a name. Enter a Start Date and End Date.


When you search the Supplier Network, this venue will have a  User-added image label on the listing, reminding you there's a credit for cancelled space available. Enter the date this icon should be removed from your search results in the Expiration Date field.

NOTE: Available credit will also appear on the Overview page in your account. Need yet another reminder while searching for venues? Activate the cancelled space alerts in Admin > Supplier Network > Suppliers > Search Settings

2 Associate a venue. To associate this credit with a venue, click the ellipsis (...) at the end of the Venue field. When the pop-up appears, click the appropriate chain (or Independent/Other for CVBs and membership organizations). Click the name of a brand (or CVBs, Independent, or Other Affiliation). Choose a metro area from the dropdown. Click the radio button beside the appropriate property, then click Add.

3 Add contact information. In the Key Contact section, enter information on the person who worked out this deal for you so you know who to call with questions. 

4 Enter details from the contract. Scroll down to the Contracted Information section and click the ellipsis (...) at the end of the Associated RFP field. Search for the cancelled RFP, then click Select to the left of its name to pull in the information automatically. You can add or edit the information here but it will not affect the RFP.

If you have the contract in another form, such as a PDF, you can attach it too. To do so, click Upload from Computer near the bottom. Click Browse... to locate the file on your computer, then click Upload File

5 Track used credit, if applicable. Once you've used this credit for another booking, add the new information here to keep your reports detailed and up-to-date.

Begin by clicking Cancelled Space in the blue navigation bar. Open a credit's record by clicking its name. Click Edit.

Select Used from the Status dropdown at the top.
A new section appears below.

Scroll down to the Rebooked Space Information section and click the ellipsis (...) at the end of the Rebooked RFP field. Search for your RFP, then click Select to the left of its name to attach it. 

Enter the contract date. Your name and email will automatically populate in the contact fields, but feel free to enter someone else's info here.   


Once you're done, click Save. 

 
NOTE: You can run the Cancelled Space report to view all your cancelled space and rebooking data in a spreadsheet.
