Importing Sessions

Cvent allows you to import up to 500 sessions into your event at the same time by pulling that information from a spreadsheet you submit. This is an efficient way to upload a lengthy agenda without adding every session individually.
 
NOTE: If you plan on adding fees for different registration types, you will need to manually add them after the sessions are imported.

1 Add session groups, if necessary. Begin by selecting your event. Hover over Event Details and, under Agenda Items, click Session Groups. Add the session group you want to associate to your session import.

2 Access the Session Import. Hover over Event Details and, under Agenda Items, click Sessions. Hover over Actions and click Import.

3 Download the sample file. Click Download a file, and save the sample.

Locate it on your computer or network. Then right click, hover over Open with, and select Microsoft Office Excel.

4 Prepare your data. Do not delete anything in the first row. These are the column headers. All other rows should contain specific values for each column.

Additional Formatting Requirements:
  • Your file must be a text file (.txt) or Excel Workbook (.xls or xlsx).
  • Avoid commas, currency signs, and quotation marks.
  • Session codes have a character limit of 30.
  • Make sure any session groups, session categories, and session locations have been added to your account prior to importing.
  • Data in the Category and Session Location fields must match exactly what is added in your account already.
  • Session Name, Session Type, and Session Start Date/Time are required for the import to be successful.
  • The Session Start Date/Time needs to be in the format of MM/DD/YYYY 24:00 and should be updated by right clicking in the Date/Time column, and selecting Format Cells. From the Category selection, click Custom and select the format.
  • Session Code, Data Tag Code, and Session Identifier (if importing to modify sessions) must contain unique values.
 
NOTE: Session names cannot exceed 100 characters. And if associating your session to a session group, don't forget to add the name of the group in the Session Group column. For session locations, add the session location code to the Session Location column.
 
After adding your data, save the spreadsheet as a text file (.txt) or Excel workbook (.xls or .xlsx).

5 Import the file. Back in Cvent, click Browse... to locate the file on your computer or network. Once you're done, click Next.

Map your columns to the Cvent fields and click Next again. Review your selections, then click Finish.
 
NOTE: If you import new sessions to the event, the existing sessions will not be deleted or overridden.
