In this distracting world, where headlines, social media, and funny cat videos are only a click or two away, registrations are bound to go unfinished from time to time. But there's no need to lose any sleep worrying about that. After all, you have Cvent. Once someone makes it past the Registrant Information page in a Classic event or the first page of registration in a Flex event, every time they click Next their work on previous pages is saved for a week. Even better, abandoned registrations are tracked. You can always see who's given up and where, then email them a friendly reminder to get back on the grind.

NOTE: In a Classic event, you can enable the Save Buttons in Website & Registration > Registration > Registration Settings and your invites can save without having to advance to the next page.

1 Access the Abandoned Registrations page. A registration is considered "abandoned" after it's been untouched for 40 minutes. This is when those distracted invitees show up on your Abandoned Registrations page. To locate this page, select your event, hover over Invitee Management and, under Manage, click Abandoned Registrations

NOTE: In Flex events, invitees will be timed-out of registration after 20 minutes of idle activity. However, these invitees will only be added to the Abandoned Registrations list after a total of 40 minutes. If an invitee wants to complete their registration, they can either begin a new registration immediately after their registration has timed-out or they can resume their initial registration once 40 minutes has passed and they are officially added to the list of Abandoned Registrations.

2 Enter your criteria. If you're looking for a particular invitee, click Advanced Search. Type in their name, a date range, or email address. Leaving these fields blank will return a list of all abandoned registrations within the established date range. Click Search.

NOTE: You can also view a list of abandoned registrations in bulk under Reporting > Reports > Reports > Abandoned Registrations.

3 Manage the incomplete registrations in bulk. Your results will appear in a table below. Consult the Last Page Saved column for trends. If you're seeing a lot of the same page, people could be finding the content confusing, unattractive, or simply off-putting. For example, if you have a lot of registration questions, the registrant could find this time consuming and exit the registration process. Another example could be that a lot of registrants are abandoning when reviewing their summary because the event fees are a little out of their budget.

Hover over the User-added image to the right of the invitee's name, and click Register to complete the registration on their behalf.

To manage the invitees, check the boxes next to the names, hover over Bulk Actions, and make a selection. Your options are:
  • Invited - Send Email and Delete Abandoned Registrations
  • Not Invited - Add to Event and Delete Abandoned Registrations
  • Not in Address Book - Add to Address Book and Delete Abandoned Registrations

4 Create a reminder email. You can set up an email to automatically remind invitees they haven't finished registering, but it only gets sent to those on an invitation list. Be sure to invite those who aren't on an invitation list by selecting the "Add to Event" option from the step above before the email is scheduled to go out.

Hover over Promotion & Communication and, under Email, select Event Emails. If your event has multiple invitation lists, select one from the dropdown at the top.

Click Create Email to the right to launch the email wizard for your Flex and Classic event.

In Step 1 of the wizard, scroll down to Send Settings and select Invitees who abandoned registration from the Audience dropdown. Choose one of the last two send options:

  • When an invitee abandons registration triggers the email immediately after the registration is considered abandoned.
  • The following number of days after they abandon registration gives the invitee anywhere from one day to two weeks before they receive this email. Determine how long you want to delay the email, enter a time, and select a time zone.

For a Classic event, click Next and finish the email. For a Flex event, click Finish and build out the email.
