A quantity item allows invitees to enter the amount of a particular product they would like to purchase. Common examples include raffle tickets, DVDs, or tote bags. Once an invitee registers for a quantity item, it can no longer be deleted.

1 Access the Optional Item's Details page. Begin by selecting your event. Hover over Event Details and, under Agenda Items, click Optional Items. Then click Create Optional Item.

Ensure Quantity Item is selected, then click Next.

2 Enter the item details. Name the quantity item, then give it a code. The number entered in "Maximum items per invitee" will be the largest amount a single invitee can buy. Add a description in the provided textbox.

3 Limit registration types, if necessary. In the Availability section, you can limit which registration types can select quantity items by switching "Limit which registration types can select this item" to Yes, then checking the boxes next to the correct registration types.

4 Set a close date and capacity, if desired. In the Status & Capacity section, ensure "Open for registration" is switched to Yes. Entering a date in the "Automatically closes on" field designates when this item will be removed from registration, preventing anyone from purchasing it. If left blank, the quantity item will close with the event. Only have a limited number of items available? Add a capacity.

5 Determine if the event should close depending on the item's capacity. In Classic events, you can close registration completely if this specific item reaches capacity. To do so, scroll to the Advanced Settings section and set Close the event if this item reaches capacity to Yes.
 
NOTE: This setting is only available in Classic events.

6 Give it a price. In the Fees section, determine if and how you'll be charging for this item. Your options include:
  • No: A fee will not be charged.
  • Yes, a simple fee: A flat fee will be charged. Give the fee a name and enter the amount.
  • Yes, an advanced fee with discounts or refunds: A fee will be charged with the option to build in discounts and refund policies. You'll need to click Next, then, Create Fee... to continue building out the fee.

Click Finish.

7 Add the quantity item widget to registration in Flex events. If you're creating a Flex event, you'll need to add it to your registration. Hover over Website & Registration and, under Registration, click Registration Process. Then click Customize to the right of the page you want to add the quantity item to.


To the right of the canvas, click Build. In the Product Selection section, drag and drop Quantity Items onto the canvas. Additional settings will appear to the right.

In the Configuration Options section to the right of the canvas, customize the header and instructional text, if desired. In the Display Settings section, show the item code, description, remaining capacity, and fees by switching the toggle to green. To hide them, switch the toggle to gray.

Once you're done, click Save to preserve your changes and continue working or Publish to make these changes available to invitees.
 
NOTE: If your invitees will be registering for guests, they'll order quantity items for everyone at once (not separately).
