With CrowdCompass, attendees can schedule their own appointments or you can do it for them. Want even more of a power trip? You're also able to import thousands of appointments in bulk. If you're using Cvent Appointments, use the integration to automatically link your attendee's appointments with the app instead. Best of all, they will only appear on relevant personal schedules.
 
NOTE: Not interested? Turn the feature off before publishing your event.
 
Creating Appointments

1 Access the Appointments section. After you have logged into the EventCenter, click your event's name. In the Event Checklist, click View More under Attendees, then Appointments.

2 Create an appointment. Click New Appointment. Give it a name, and add when it will start, when it will end, and who you're inviting. You can also include where it's happening and a description.
 
NOTE: Appointments can only have ten participants including the host. And when creating appointments in the EventCenter, you're always the host.

Once you've finished, click Create Appointment.
 
NOTE: Make sure attendees are comfortable making appointments during the event by customizing and sharing the instructions on "Scheduling Appointments." Download them on the Teaching Attendees page.

Importing Appointments

1 Export your attendee list. After you have logged into the EventCenter, click your event's name. In the Event Checklist, click Invited Attendees under Attendees.

Click Export, then Export once more. You'll receive an email with your Attendees template attached. Once you receive the file, open it and find the Unique IDs of the attendees you'd like to make appointments for. Keep them handy, you'll add them to a different template in a moment.


2 Access the Appointments template. Back in the EventCenter, click Appointments in the side nav.

Click Import. Download the template in the format you prefer.


3 Fill out the template. A Unique ID for the appointment, Unique IDs for attendees, Appointment Name, Start Time, and End Time are all required. Enter the Unique ID of anyone you want to attend into the appropriate cell in the template and they'll be invited when you import.

Repeat for as many appointments and attendees as needed.

Once you've finished, save the template.

4 Upload the template. Back in the EventCenter, click Choose File.

Locate the file on your computer or network, then click Start Import.


 
Importing Appointments

5 Check for errors. After the import has completed, look at the Status column next to your Appointment name to see the current state of all of its invitations. The four possible statuses are:
  • Unsent - The invitation is ready but has not been delivered yet. You can click Reapply All at the top of the page to resend the invite.
  • Applied - The invitation has been accepted and added to the invitee's calendar. 
  • Missing - The invitation could not be delivered because CrowdCompass couldn't find the attendee it was meant for. Follow the instructions below.
  • Error - The invitee was found, but something went wrong during delivery. Contact CrowdCompass Support to correct the issue.
If any of your invites are shown as Missing, click Review Missing to see a list of any email addresses or Unique IDs that couldn't be associated with an existing attendee.

Click Confirmed Attendees from the side nav and find the attendees you meant to send an invitation to. Check to make sure their email or ID matches the one on the Review Missing list. If it doesn't, change their email or ID on your template and re-import it.

 
Updating Appointments

1 Navigate to the Appointments section. After you have logged in to the EventCenter, click your event's name. Under Attendees, click View More, then Appointments.
NOTE: Need to update a lot of appointments? Import your changes instead.

2 Edit an existing appointment. To modify an appointment, click the pencil icon to the right of the name.

Once you're done, click Update Appointment at the bottom of the page.

3 Or delete an appointment. Click the trash can icon to the right of the name, then click OK to confirm. Keep in mind, this action cannot be undone.

Turning Off Appointments

1 Access the Attendee Options page. After you have logged in to the EventCenter, click your event's name. Click Event Settings in the side nav, then Attendee Options

2 Disable the feature. Scroll down to Appointments Settings and select "No Appointments."

When you've finished, click Update Event to save.
