Once you've created an event and added ticket types, import your registrants' and their guests' information so they are ready to check-in at the door. You can update registrations or remove them at any time. 
 
NOTE: Using LeadCapture? Be sure to import your exhibitors before following the steps below.
1 Access the Registration page. Go to Onsite Solutions and log in to your account. Click the name of your event.

From the options that appear on the left, click Registration.

2 Download the template. Hover over the Registrant dropdown and click Import Registrants List. You'll need to use a desktop computer for this step since you cannot import lists on a mobile device.

In the "Important information about imports" box, click Download a sample .csv file and save the sample.

Locate it on your computer or network. Then right click, hover over Open with, and select Microsoft Office Excel.

3 Prepare your data. Do not delete anything in the first row. These are the column headers. Follow the examples in the sample spreadsheet to add information on each registrant. 

The most important fields include: 
  • First Name and Last Name - These fields are required
  • Email and Source ID - Only one of these fields is required. Use Source ID if the registrant doesn't have an email. It can be any unique identifier.
  • Ticket Type - If you haven't created additional tickets, "General Admission" is the default ticket type. Registrants can only be assigned to one ticket
  • Ticket Reference ID -This number is a unique identifier for each ticket that will be automatically assigned when you import. That means you only need to fill this out if you are using another registration provider (add the confirmation number) or LeadCapture (add the barcode or QR code number). 
  • Group Leader Email and Group Leader Source ID - If a registrant is bringing guests, they're called a "Group Leader." For each guest row, add the primary registrant's email or source ID to this field. Guests will be tied to the primary registrant and will have a "G" icon beside their name. 

After adding your data, save the spreadsheet as a Comma Separated Values file (.csv).

4 Import the file. Back in Onsite Solutions, click Browse to locate the file on your computer or network.

In the Insert Option section, leave "Insert Only" selected. The other setting only applies to future imports.

Click Next.

If you used the sample spreadsheet as a template, the headers should already be mapped to the right fields, but give this page a once-over to make sure.

Click Start Import.


5 Review imported registrants. Once the import is complete, click Event Imports on the left, then select the History tab. Click Summary beside the file you uploaded. Here, you can determine the number of records that were imported or skipped (failed to import). If any records were skipped, click Download Skipped Records, open the spreadsheet, and check the Reason column to find out why.

Successfully imported registrants will appear when you click Registration on the left. You can also find them in the Attendees section of the OnArrival app.
