If you're using standalone OnArrival, save time building your app by pushing key event info from the OnSite Solutions portal to CrowdCompass. Below are some guidelines to keep in mind.
NOTE: For full instructions on enabling the integration, consult the guide.
 
1 Know what will and will not sync. The only OnSite Solutions objects that can be pushed into CrowdCompass are:
 
  • Registered attendees
  • Registered attendees' personal schedules
  • Sessions
  • Exhibitors

The OnSite Solutions fields for attendees, sessions, and exhibitors are outlined below with their corresponding fields in CrowdCompass. An asterisk denotes fields that are required in OnSite Solutions and CrowdCompass.
 
OSS Integration Field Mappings

Exhibitor admins, sponsorship tiers, and info on LeadCapture licenses do not sync through the integration.
 
NOTE: Are you using Source ID or Ticket ID? Registrant and guest data will not be transferred to CrowdCompass without an email address.

2 Let us know as soon as possible. The earlier we know if you will need to turn on the integration, the better. The best time to set up the integration is when your CrowdCompass event is a blank slate.

3 Build your event in OnSite Solutions. Create registrants, sessions, and exhibitors in OnSite Solutions before integrating with CrowdCompass. Some people make the mistake of adding some content in OnSite Solutions and some in CrowdCompass. The integration works best if everything is first loaded in OnSite Solutions. That way it can all be managed in the same location.

4 Understand how it works. The integration runs every five minutes by default, though you can adjust the frequency of the sync when you activate the integration. However, when the integration is first set up, it can take a few minutes to several hours to bring over all the data depending on the size of your event. This integration is a one-way sync, meaning that data syncs from OnSite Solutions to CrowdCompass only, based on the following:

 
  • When a field is updated in OSS, the corresponding field is updated in CrowdCompass.
  • When an attendee, session, or exhibitor is added in OSS, a content record is added in CrowdCompass. 
  • When an attendee, session, or exhibitor is removed in OSS, a content record is deleted in CrowdCompass.
  • When an attendee is missing an email address in OSS, an attendee is not created in CrowdCompass. 
  • When a blank ticket is added to an attendee, an attendee is not created in CrowdCompass. 
  • When an attendee that has already been added to CrowdCompass is added to OSS, a duplicate attendee is created in CrowdCompass.
  • When an attendee is added or removed from a session in OSS, their scheduled is updated in CrowdCompass.
  • When a session with attendee participation is deleted from OSS, that session is removed from all schedules in CrowdCompass

5 Know the limitations. Once an attendee logs into the app, they have full control over their personal information and the integration will stop syncing updates to their profile. Additionally, if you link a session or exhibitor location to an area on a map in the EventCenter, the integration will stop syncing that field so it remains linked. Locations linked to maps must be updated directly in the EventCenter.

6 Make updates in OnSite Solutions. Once the integration is on, all updates to synced content should be made in OnSite Solutions. Any changes made to synced content in the CrowdCompass EventCenter will be overwritten the next time the integration runs.
