The Lead Scoring Proposal Assistant will allow you to start creating your proposal in Lead Scoring while reviewing the Hotel Fit Score. Designed to save you time on entering the rates, dates, and meeting space, it will give you more time to craft a detailed and attractive proposal.
 
NOTE: This feature is currently only available for leads sent via the Cvent Supplier Network. Lead Scoring is an additional feature. Contact your sales representative to learn more.

1 Launch Lead Scoring Proposal Assistant. Log in to your Cvent account and click Lead Scoring, then click the name of the booking you need.

Alternatively, go to https://leadscoring.cvent.com and log in with your Cvent credentials, then click the name of the booking you need.


Click Propose to the right of the dates under consideration.

NOTE: If you are using MeetingBroker, follow these steps to access the Lead Scoring Proposal Assistant.

2 Review the dates and rates. Review each date you wish to add to your proposal. The Lead Scoring Proposal Assistant will first show you the planner preferred date, then any planner alternate dates. If the planner has indicated that dates are flexible, Lead Scoring will suggest more alternate dates.

NOTE: "What if Scenario" dates do not currently show in the Lead Scoring Proposal Assistant.

Carefully review the response options:
  • 1st Option, Holding Space - You have enough space available to meet the planner's needs and you can temporarily set it aside for this meeting specifically.
  • 1st Option, Not Holding Space - You have enough space available to meet the planner's needs, but you will not temporarily set it aside for this meeting.
  • 2nd Option - Another group has requested this space, but, if that falls through, this lead is next on the list.
  • Available with Limitations - You can meet most of the requirements for these dates, but not all. Use the Additional Information box in the proposal wizard to explain.

Any budgeted room rate the planner entered in the RFP will automatically pull as the Proposed rate. You can manually change this, then use the Update Score option to see how the lead score is affected. If the planner needs several room types, you can propose customized rates for each by using the Update rates by Room Type option.
 
If available, you will also see the Competitive Rate that pulls from the Lead Score's Summary section.
 
NOTE: Not seeing a Competitive Rate? This usually means that there are not enough room rates in your competitive set to calculate a rate.

3 Select the dates and ratesOnce you have reviewed the date and confirmed the proposed rates and availability for that date, click Add to proposal.

The selected dates will appear to the right, in the Dates included list.

4 Review the meeting space. Start by clicking Meeting Space to check if any meeting rooms were auto-assigned for RFP agenda items. 

If the planner included a food and beverage minimum budget, this will be displayed at the top of the page. You can edit the amount and save the changes by clicking Update Score. If no budget was added by the planner, you can propose one to get a more accurate lead score.

Any meeting spaces that were auto-assigned by Lead Scoring will display the yellow asterisk icon. If you need to make changes, start by clicking Edit Space Assignments.

You can select a specific hotel section to ensure only function spaces from that section are auto-assigned to the agenda items. You can also enable social distancing for space assignments.
 

NOTE: If social distancing has been enabled in the hotel configurations, it will be enabled by default in the proposal assistant.

Once you select the preferred section from the dropdown, click Update.

If no spaces have been auto-assigned by Lead Scoring or you want to select specific ones, click Assign Individual Spaces. Use the Space Assignments dropdowns to select the spaces you want for each agenda item in turn. Click Update when you're done.

5 Launch the Proposal Wizard. Click Start proposal to launch the standard Proposal Wizard. This will now include your selected dates, event availability, proposed rates, and meeting spaces. Remember that you can make changes to these pre-populated fields at any time in the Proposal Wizard. Use the time saved to create an attractive proposal
