If you don't want to lose your data when you switch from your RegOnline account to your new Event Management account, Cvent is offering the option to request a free, one-time data migration to ensure all of your necessary historical data isn't lost.

NOTE: Migrated events transfer over as Classic events. These cannot be duplicated in pay-as-you-go accounts. If you already have a Cvent contract, reach out to your Account Manager instead.

1 Choose which data fields you want to migrate. You have the option to migrate over all of your invitee and completed event data, including events that were copied, deleted, or used as samples (pending, active, and cancelled events cannot be migrated). For a complete list of the fields you can migrate for free, reference this article. If you do not see a field you may still need, you may still have it migrated for a fee.

NOTE: If you're migrating invitee data for a RegOnline event that had group registration enabled, any invitees with the same email address will be skipped, since Cvent's system will view those invitees as duplicate records.

2 Request the migration. Once you have decided on which data you need to transfer over, you will need to fill out the data migration request form. Make sure you specify which fields you want to include, and how far back in time you want to go (up to five years).

After submitting your request, you'll receive an email notification from the Data Migration team that your request was received. After that, the team will need 24-48 hours to extract your data.

3 Review your data. This is not an automated process. The Migration Team needs your authorization before importing. Once they have extracted your data, they will attach it to your case and let you know. To review the data, log in to the Community, and in the top right, click My Cases. Open your Data Migration case, and review the "Data Extract" attachment. Once you have reviewed it, click Add Authorization to confirm that the necessary data was extracted.
