The Hotel Performance Dashboard within Business Intelligence gives you quick access to high level RFP metrics about your venue and sales managers and also helps you determine where your venue stands compared to your main competitors.

To enable the Hotel Performance Dashboard for your account, contact your sales representative.
 
NOTE: Can't see the Business Intelligence tab? Ask your administrator to assign you a user role that gives you full access to it.

1 Run the Hotel Performance Dashboard. Click Business Intelligence, then Reports. Click Hotel Performance Dashboard.

To familiarize yourself with the key terms used throughout the dashboard, click User-added image at the top, next to the report name.

You can also select whether to view your dashboard based on RFP or room night data.

2 Edit your report criteria. By default, the dashboard data is based on RFPs received in the last 365 days, for all arrival dates and peak room nights. However, you can edit the report criteria by hovering over Data in the top right and clicking Change Report Data.

Click Run when you're done. Your report will now show data based on the criteria you selected.

3 View and manage your dashboard data. At the top of the dashboard you get a summary of your venue performance based on RFP or room night data such as received RFPs, meeting planners, awarded RFPs, conversion, response and bid rates, average response time, and turn downs.

All summary widgets display your ranking in the competitive set as well as year over year (YoY) comparisons. You can also view a short description and recommended metric options for each widget in turn by hovering over the User-added image icon in the widget's top right corner.

Clicking on the numbers highlighted in blue will open sub-reports that show the RFPs on which the widget data is based. Furthermore, every RFP on these sub-reports can be accessed by clicking its name.

To the right of the sub-report you can edit and apply various filters to trim down the data you see.

The rest of the report data is compartmentalized into several editable widgets that focus on your individual Sales Managers' performance. Use the following to determine who your top performers are and identify areas of improvement:
  • Competitive Set Grid - A list of stats compared against the competitive set average with each one color-coded and expressed as either Ahead or Behind (for the selected date range) and Gaining or Losing (for the same date range last year).
  • Demand - The number of RFPs or room nights sent to your hotel.
  • Average Response Time - The number of hours your venue took to submit an initial proposal to the planner.
  • Bids and Bid Rate - The number of proposals.
  • Turn Downs and Turn Down Rate - The number of RFPs or room nights rejected.
  • Awarded and Conversion Rate - The number of RFPs or room nights won.
  • Declined and Declined Rate - The number of RFPs or room nights lost.

With the exception of the Competitive Set Grid, the data presented in the widgets above is initially grouped by responder. You can however group it by assignee instead. Hover over the User-added image icon at the top right of the widget and clicking Edit. In the Grouping section, check the box next to Assignee and uncheck Responder. Click Update when you're done.

Additionally, you can click a graph segment within a widget, then Drill Down to select how you want the segment data to be grouped.

As you drill further down the widget data, a breadcrumb trail appears at the top of the widget so you can retrace your steps, or keep track of the filters you applied.

Clicking View Data opens sub-reports that will show the RFPs on which the widget data is based.


4 Save your customized report. If you have made edits to the widget settings and report criteria, you can save them for future use by hovering over ...Actions in the top right and clicking Save As. Enter a name for your customized report and a description, if desired. You can also create a schedule to automatically run the report at regular intervals.

Click Save when you're done. You can find your customized report in the Saved Reports tab.  
 
5 Export your report. To keep a record of your current report data hover over ...Actions and click Export. Select the format you want and click Export.
