Every user must be assigned one (and only one) user role. This determines which features they can access within Cvent. By default, all accounts have one user role, Administrators, but you'll probably want to create more. After all, different users have different needs. Some may require all the bells and whistles to effectively manage RFPs, while others only have to glance at the occasional report.

NOTE: Only account administrators can create user roles.

1 Access and view your account's user roles. Begin by clicking Admin in the top right. Hover over Users and, under Manage, click User Roles.

User roles that could be pre-loaded into your account include:

  • Administrator - complete access to an account (i.e. no restrictions).
  • Corporate Office - complete access except for managing other users.
  • Profile Edits Only - access to manage venue profiles only.
  • RFP Access Only - permission to manage RFPs only.
  • RFP Access and Profile Edits - permission to manage both venue profiles and RFPs.
  • Venue Administrator - access to create users, manage RFPs, and edit venue profiles.

If these options don't quite meet your needs or don't appear at all, simply create your own.

2 Create a user role, if necessary. Click Create User Role in the top right. Name the role and add a short description of what this role does. In the Application Areas section, choose which areas of Cvent the user will have access to. This will determine which user permissions can be enabled for the user role.

NOTE: Make sure the option Venues & Services is set to Yes for property and multi-property users.

Click Next.

Determine if a user has no access, read-only (when applicable), or full access for each set of rights. Not sure what a particular set of rights is referencing? Hover over the blue question mark next to each one for more details.

Click Finish when you're done.
