Setting Up Brightcove or Vimeo Session Videos for the Attendee Hub Website

Before you can add videos to sessions, you'll first need to update your video settings. Follow these instructions to set up live stream, pre-recorded, or simulive sessions using Brightcove or Vimeo.
NOTE: If you're using a third-party video provider other than Brightcove or Vimeo, follow these instructions instead.

Using Your Brightcove Account
Follow these instructions if you're using Brightcove as your Video Player for a live stream, pre-recorded, or simulive session. Your session video will be embedded within the Attendee Website.
NOTE: If you're using Brightcove for a collaborative session, set it up like a third party video.

1 Add custom event fields for Brightcove. Click the App Switcher Icon icon in the top-right, then select Admin from the dropdown.
 
NOTE: These instructions are for the New Experience. To follow these steps, click Try Now at the top of your account to enable a partial preview, then talk to your Account Team to make the complete switch.

From the left-hand navigation, under General, click Custom Fields.

From the dropdown at the top, select Custom Event Fields.

Click Create Custom Field. Enter "BRIGHTCOVE_ACCOUNT_ID" as its name. For the field Type, select Open Ended Text - One Line.

NOTE: Make sure to enter the text for your custom event field exactly as shown above. Otherwise, your videos will not work correctly.

Click Save & New.

For the second custom event field, enter "BRIGHTCOVE_PLAYER_ID" as its name. For the field Type, select Open Ended Text - One Line.

NOTE: Make sure to enter the text for your custom event field exactly as shown above. Otherwise, your videos will not work correctly.

Click Save.

2 Fill out the custom event fields. Click the App Switcher Icon icon in the top-right, then select Events from the dropdown. Select your Flex event.

From the left-hand navigation, click General, then Event Information. The Details tab opens by default. Click the neighboring tab, Custom Fields, then click Edit

The fields you created in Admin appear here automatically. Enter your Brightcove Account ID and Brightcove Player ID in the relevant fields.

Click Save.

3 Get the Video ID for your session. Locate and copy the Video ID for your session video. Set it aside for now. You'll use it again later.

 
4 Access the Video Settings tab. Back in Cvent, from the left-hand navigation, click Agenda, then Session List.

Select your session. The Details tab opens by default. Click the tab to the right, Video Settings, then Edit.
NOTE: Don't have the option to edit this page? Make sure "What's your event format?" is set to Virtual under General > Event Information.

5 Configure the video settings for a live stream. In the Session Setup section, select Live from the dropdown.

Under Session Type, make sure Live stream is selected.

Under Video Streaming Tool, select External platform.

From the Video Player dropdown, select Brightcove.

Decide if attendees will be able to watch a session recording from the Attendee Website after the session has ended.
 
In the Video Player Details section, paste the applicable Video ID you copied from Brightcove in Step 3 into the Video ID field.

NOTE: If you set a recording to be available for attendees after the session has ended, the Video ID you entered in the Video ID field will determine the video that's available on-demand. Reference the Video ID for the recording in Brightcove to verify if it will use the same Video ID you already added while configuring the session, or if you will need to enter a different Video ID in this field once the recording is available.

Once you're done, click Save.

Or, configure the video settings for a pre-recorded session. In the Session Setup section, select Pre-recorded from the dropdown.

From the Video Player dropdown, select Brightcove.

Decide if attendees will be able to re-watch the session from the Attendee Website after it has ended.

In the Video Player Details section, paste the applicable Video ID you copied from Brightcove in Step 3 into the Video ID field.

Once you're done, click Save.

6 Enter the session details into your streaming tool, if applicable. If your session is a live stream, it's your responsibility to enter the RTMP URL and Stream Key from Brightcove into your video streaming tool.
NOTE: For instructions on how to live stream your content, you can reference the support documentation for how to host a Webex Conference or Zoom Conference to Brightcove Live, if applicable.


Using Your Vimeo Account
Follow these instructions if you're using Vimeo as your video player for a live stream, pre-recorded, or simulive session.
NOTE: If you're using Vimeo for a collaborative session, set it up like a third-party video.

1 Get the Video URL for your session. Locate and copy the Video URL for your session video. Set it aside for now. You'll use it again later.

2 Access the Video Settings tab. In Cvent, select your Flex event. From the left-hand navigation, click Agenda, then Session List.

If you set an on-demand recording to be available for attendees after the session, enter the URL for the recording from your third-party provider, once it's available, into the Recording URL field in the Recording Details section.

Once you're done, click Save.

Or, configure the video settings for a pre-recorded session. In the Session Setup section, select Pre-recorded from the dropdown.

From the Video Player dropdown, select Vimeo.

Decide if attendees will be able to re-watch the session from the Attendee Website after it has ended.

Once you're done, click Save.

4 Enter the session details into your streaming tool, if applicable. If your session is a live stream, it's your responsibility to enter the RTMP URL and Stream Key from Vimeo into your video streaming tool.
