Notifications can be used to inform, remind, or update attendees about key event info. Even if someone chooses not to receive push notifications from the Event App or pop-up notifications from the Attendee Website, all messages will still appear in the Announcements section of the app and the Notifications section of the website. Follow these instructions to add notifications individually or in bulk.

Creating Notifications Individually

1 Navigate to the Notifications section. Begin by selecting your event. From the left-hand navigation, click Attendee Hub, then Notifications.

2 Create your notification. Click Create Notification.

Give your notification a name. Attendees who have allowed push notifications for the app will be able to see the name in their device's Notification center.

In the Message textbox, enter what you want the notification to say. It can be up to 140 characters. Incorporate data tags for first name, last name, event title, and session name into your message by clicking Insert Data Tag..., selecting the relevant data tag, then clicking OK.

Basic Information

In the Settings section, determine who should receive your message. Your audience options include:
  • All users - Attendees who have downloaded your event within the Event App or logged in to your Attendee Website.
  • All attendees - Attendees who have registered for the event.
  • Event participants - Attendees who have been marked as event participants.
  • Session registrants - Attendees who have registered for the selected session.
  • Session participants - Attendees who have been marked as participants for the selected session.
  • People with the following registration types - Attendees who belong to the selected registration types.

Decide if the notification will be manually sent later, sent immediately, or at a scheduled time. If you're scheduling the notification, define when the notification should be published by entering a date and time and selecting the relevant time zone.

Send Settings

Then choose your notification type. Your options include:
  • Show as notification alert - This type of notification will appear as a pop-up message or notification on an attendee's mobile device, if they've allowed push notifications for the app. It will also appear in the Announcements section of your Event App.
  • Show on notifications list - This type of notification will be displayed within the Announcements section of your Event App, but won't appear as a pop-up message or notification on an attendee's mobile device.

NOTE: Both notification types will appear in the Notifications section of your Attendee Website and, if the attendee has allowed notifications for the web, as a pop-up message on the website.
 
Link your notification to event content or a Web URL to make it tappable. If linking to an Attendee Hub page, select the Page type from the dropdown. Select the specific page you want to link to, if applicable.

Give your notification a final review, keeping in mind that it cannot be edited once it has been sent. When you're finished, click Save.


Creating Notifications In Bulk

1 Navigate to the Notifications section. Begin by selecting your event. From the left-hand navigation, click Attendee Hub, then Notifications.

2 Download the sample import file. Hover over Actions in the top-right and click Import notifications.

Click Download a file.

The sample import file will download automatically. Save the file, then locate it on your computer or network. Right click the file, hover over Open With, and select Microsoft Excel.

3 Download the list of existing session, exhibitor, or custom page IDs, if necessary. If you want to link your notifications to sessions, exhibitors, or custom pages within your event, return to Cvent and click Download a list of session IDs, Download a list of exhibitor IDs, and Download a list of Custom Page IDs as necessary.

The ID list will download automatically. Save the file, then locate it on your computer or network. Right click the file, hover over Open With, and select Microsoft Excel. Repeat this action for each ID list you've downloaded.

Locate the names and IDs for the sessions, exhibitors, or custom pages you want to link to notifications. Keep them handy. You'll use them in the next step.

4 Prepare your data. Return to the sample import file opened in Excel. The first row of the template includes the column headers. Do not delete, edit, or rearrange any of these columns.


When filling out the template, keep these guidelines in mind for each column:
  • Name - Attendees who have allowed push notifications for the app will be able to see the notification name in their device's Notification center.
  • Message - Messages can be up to 140 characters.
  • Send To - Enter one of these options: All users, All attendees, Event participants, Session registrants, Session participants, or Registration types.
  • Registration Type Code - If you're sending a notification to registration types, include the registration type code(s). For any other audiences, leave this column blank.
  • Session Name - If you're sending a notification to session registrants or session participants, add the relevant session name from Step 3. For any other audiences, leave this column blank.
    Session ID - If you're sending a notification to session registrants or session participants, add the relevant session ID from Step 3. For any other audiences, leave this column blank.
  • Send Type - Enter one of these options: Manually or Scheduled time. Keep in mind that you cannot set a notification to be "sent now" using the import file.
  • Send Date - If you're sending a notification at a scheduled time, fill out the send date.
  • Time Zone - If you're sending a notification at a scheduled time, fill out the time zone.
  • Notification Destination - Enter one of these options: Show as notification alert or Show on notifications list.
  • Linked Content - If you want to link a notification to content, enter one of these options: Attendee Hub Page or Web URL.
  • Page Type - If you're linking a notification to an Attendee Hub page, enter one of these options: Sessions, Exhibitors, Custom Pages, Surveys, Home, or Schedule.
  • Page Name - For notifications linked to a session, exhibitor, or custom page, enter the page name from Step 3.
  • Page ID - For notifications linked to a session, exhibitor, or custom page, enter the page ID from Step 3.
  • Link Name - For notifications linked to a web URL, include the link name.
  • Link URL - For notifications linked to a web URL, include the link URL.

After you've finished adding your data, save the spreadsheet as a text file (.txt) or Excel workbook (.xls or .xlsx).

5 Import the file. Back in Cvent, click Browse... and locate the file on your computer or network. Decide if you want to be sent an email when your import is complete, then click Next.

Map the columns from the import file to the corresponding Cvent fields and click Next again.

Give your field mappings a final review, then click Finish. Each row listed beneath the column headers in the file will be imported as a new notification.



Editing or Deleting Notifications
NOTE: Once a notification is sent, it can't be edited.

1 Navigate to the Notifications section. Begin by selecting your event. From the left-hand navigation, click Attendee Hub, then Notifications.

2 Edit the notification. From the Notifications list, click the name of the notification you want to edit.

Click Edit. Make the necessary updates to the notification, then click Save.


Or, delete the notification. From the Notifications list, click the name of the notification you want to delete.

Hover over Actions in the top-right, then click Delete.

When the pop-up appears, click Confirm.

 
Manually Sending Notifications

1 Navigate to the Notifications section. Begin by selecting your event. From the left-hand navigation, click Attendee Hub, then Notifications.

2 Send the notification. From the Notifications list, click the name of the notification you want to send.

Hover over Actions in the top-right, then click Send now.
NOTE: Once a notification is sent, it can't be edited.

If the notification was initially scheduled to send, it will become a manually sent notification and will not be sent again at the originally scheduled date and time.
