For your Flex events, you'll be able to test at any point while your registration is in Pending status. Check the invitation that exhibitors receive, view your website through the eyes of a speaker, or experience registration as someone not in your Address Book. Best of all, you don't have to assess all that hard work yourself. You can get someone else to do it for you. These instructions are for the New User Experience. If you haven't already, click Switch Now in the top of your account to follow the steps below. If you're using the Classic User Experience, reference this article instead.

 
NOTE: Your test scenarios will open in another tab. You will need to enable popups if the test does not appear. If you continue to have trouble accessing the test scenario, try another browser, such as Google Chrome or Mozilla Firefox.


Testing the Event Yourself

1 Customize your test profile, if necessary. Click the User-added image icon in the top right, then My Profile.

The Details tab will open. Click the Test Profile tab, then Edit.

A test profile is used exclusively for mock data during test scenarios. Once you initiate the test, the contact information entered here will be automatically pulled into the appropriate fields.

Once you've finished adding mock data, click Save.


2 Add yourself to the Invitation List, if necessary. If your event is private, you will need to add yourself to the Invitation List before testing the event. 

Click on the User-added image icon in the top-right, then select Events from the dropdown. Select your event. From the left-hand navigation, click Email, then Invitation Lists. Select an invitation list, if necessary. From there, hover over List Members and click Quick Add. Enter your first name, last name, and email, then click Add

3 Access the Overview page. From the left-hand navigation, click General, then Event Status. Hover over Actions, then click Perform Test.

4 Set the parameters. Since you'll be testing the scenario, ensure "Test the event myself" is selected in the Testing Method section. Choose what area of the event you want to test. Your choices include:
 
  • Email - Specify the contact type, invitation list, and email.
  • Website - If you're arriving at your event website through an email, determine your contact type, invitation list, and starting page. If you're arriving through a generic weblink, simply select a starting page. 
  • Registration Process - If you're arriving to registration through an email, determine your contact type and invitation list. If you're arriving to registration from a path-specific weblink, simply select the registration path. When you initiate the test, registration opens in a new window. Getting an error message? Weblinks won't allow you to register twice. Choose Cvent Email to get around this.
  • My Registration - Select a test registrant. You must have at least one to test the My Registration page.
  • Feedback Survey - Select a test registrant. You must have at least one to test the Feedback Survey and the survey must be set to allow responses prior to the event start date.

Once you're done, click Start Test. Repeat as necessary to test all the different areas.
 
NOTE: If you test for invitees who arrive from a weblink, Cvent references your Address Book, not your Test Profile, when determining the contact info to pre-populate.
Sending Scenarios to Others

1 Add test users, if necessary. Want to send these scenarios to individuals without access to Cvent? You'll first need to add them as Test Users. Begin by clicking the User-added image icon in the top right, then select Admin from the dropdown. From the left-hand navigation, click Manage Users, then Users.
 
NOTE: If the Users option is not appearing, you will need to contact your account's Administrator about upgrading your Administrators Rights.

Click Create User. Select Test User from the User Type dropdown. Test Users are not able to log in to Cvent. Their only access will be through the scenarios you send them.

Enter a username, first name, last name, and email address. Click Finish.

 
NOTE: Usernames must be in email format. Consider using the same email address as your main Cvent username for your test username.

You'll be taken to the User Information tab. Click the neighboring tab, Test Profile.

Their test profile is used exclusively for mock data during test scenarios. Once they click the link in their test email, the contact information entered here will be automatically pulled into the appropriate fields.

Click Edit to add information, then Save.


2 Add the test users to an invitation list, if necessary. If your event is private, you will need to add these test users to the Invitation List before sending them a test scenario. 

Begin by clicking the User-added image icon in the top right, then select Events from the dropdown. Open your event. From the left-hand navigation, click Email, then Invitation Lists. Select an invitation list, if necessary. From there, hover over List Members and click Quick Add. Enter the user's first name, last name, and email, then click Add.


Repeat this step for each person you want to send a test scenario to.

3 Access the Overview page. From the left-hand navigation, click General, then Event Status. Hover over Actions, then click Perform Test.

4 Specify the recipients and set up the test email. Select "Email test scenarios to other people." Choose the From Email Address. Then, click Add Recipients.

Choose Account User or Test User from the Type dropdown, check the box next to the appropriate user.

Click OK. In the Scenarios section, choose what area of the event you want them to test. Just click Add Scenario... and your choices include:
 
  • Email - Specify the contact type, invitation list, and email. With the exception of the Save the Date email (which can be sent an unlimited amount of times), you can send up to 100 test emails.
  • Website - If the user in this scenario is arriving at the event website through an email, determine their contact type, invitation list, and starting page. If they're arriving through a generic weblink, simply select a starting page.
  • Registration Process - If the user is arriving to registration through an email, determine their contact type and invitation list. If they're arriving to registration from a path-specific weblink, simply select the registration path.

Explain the scenario to those testing in the Description textbox. Click OK.
 
NOTE: One is never enough. You can send recipients up to 10 scenarios at once.
Provide any overarching instructions in the Message section.

5 Send the test email. Send the test email. Click Start Test.


Making Changes after Testing

Once you test, chances are you'll want to make some tweaks. Not a problem. Edit that registration question. Personalize that overlooked email. Change the look and feel.

Additionally, you can alter how invitees begin registration, modify what information you collect, add payment options, and adjust how sessions are displayed, all prior to launching your event.
